Taking attendance

Pick a class session, mark every student present, absent, late or excused, handle makeup classes, and print an attendance register.

What you'll do

Mark attendance for one class session. Attendance in CampusQ is always attached to a session — a specific dated class generated from the batch's weekly schedule — never to a free-floating date.

Before you start

The batch schedule is required, not optional. Class sessions are generated from a batch's weekly schedule, so a batch without one produces no sessions and attendance cannot be taken against it at all — there is nothing to mark and no way to force it from this screen. If the attendance page tells you This batch has no class schedule, that is the whole problem: set the weekly slots on the batch and the sessions appear. Set it up once per batch, before anyone tries to take a register.

  • A batch with a weekly schedule — see the note above, and Courses, batches and schedules.
  • Students enrolled in that batch. The marking grid is built from enrollments.
  • Nothing else. Attendance takes under a minute per class once you are set up.

Mark a session

Go to Attendance. Two dropdowns, then a list of sessions:

  1. Choose the Course.
  2. Choose the Batch. Until you pick a course this reads Select a course first.
  3. The Sessions list appears. Its hint is the rule: Click a past or today's session to take or edit attendance. Each card shows the date, the weekday, the start and end time, and a tag — Not marked, Upcoming, or a count with marked once you have started.
  4. Click today's session.

There is no date picker. The page's own subtitle mentions choosing a date, but on screen you pick a session from the list instead, and future sessions are disabled. You cannot mark attendance for a class that has not happened yet, and you cannot invent a date that is not in the schedule — for that, add a manual session on the batch first.

Fill in the grid

The marking grid opens under the session you clicked, with summary tiles across the top: Enrolled, Present, Absent, Late, Excused, Unmarked.

There are exactly four statuses: Present, Absent, Late, Excused.

The fastest way to work through a class:

  1. Use Mark all as: followed by Present to set everybody at once.
  2. Change the handful of exceptions row by row.
  3. Add a Remarks note where it helps — Optional note, up to 500 characters. Use it for the reason behind an Excused, so the record explains itself next term.
  4. Watch the Unmarked tile fall to zero.
  5. Press Save Session.

Every student needs a status before you can save. If any are left blank you get Incomplete — Please set a status for all 32 students before saving. 4 remaining. On success: Saved — Attendance saved for 32 students.

Rows you have marked before are labelled Marked earlier; you can edit or delete an individual record from the icons at the end of the row.

Makeup classes

If you mark a session on a date outside the batch's normal pattern, CampusQ asks first. A banner appears — … isn't a normal class day for this batch (meets on …). Record as a makeup session? — with the button Yes, record as makeup. Confirm and the header changes to Recording as makeup; the session is tagged Makeup, with the tooltip Marked as makeup session.

You will also see Not a class day — This date is outside the batch's normal schedule. Confirm this is a makeup session before saving.

Marking a session as a makeup is worth doing properly: makeup sessions are never touched when a schedule is regenerated, whereas an ordinary unmarked session can be moved or removed.

Print the register

Once you have chosen a batch, Print register appears in the page header. It opens your browser's print dialog, so you can print or save as PDF.

Resetting a session

Reset Attendance deletes every mark for the session. The confirmation is explicit about the consequences: This deletes every attendance mark for this session and reverts it to scheduled. This cannot be undone.

Use it only for a genuine mistake — the wrong session marked, or a class that did not happen. Attendance records are part of your audit trail: they are what a guardian dispute, a fee argument and an ISO 9001 records check all fall back on. If one student is wrong, edit that student's row instead of resetting the class.

Notes

  • Session, not date. Everything hangs off the batch schedule. A missing session is a schedule problem, not an attendance problem.
  • Percentages are calculated for you. Students see their own attendance percentage in their portal; guardians see it on the guardian link.
  • Absence SMS exists, and it is off by default. Switch on Absence notice under Settings → SMS Notifications, and optionally have it send the moment a register is saved. It can be targeted at the guardian instead of the student. See SMS and notifications.
  • Cancelling a class can notify the batch, if you switch that on in the same place.
  • Teacher attendance is a separate screen, kept per teacher per day rather than per session.
  • The four statuses are fixed. You cannot add a fifth, rename one, or turn one off.
  • The per-row status dropdown reads EnglishPresent, Absent, Late, Excused — even in Bengali, although the tiles and the bulk buttons above it are translated. So is the session status tag.

Troubleshooting

"No sessions yet. Configure the batch schedule first." The batch has no weekly schedule, so no dated sessions exist. Set one up on the batch, then come back.

Today's class is not in the session list. Either today is not one of the batch's meeting days, or the batch's date range has ended. Add a manual session on the batch and mark that instead — and tag it as a makeup.

The grid is empty even though the session is there. No students enrolled in this batch. Enroll students first.

Save Session does nothing. Look for the Incomplete message. Some students still have no status; the Unmarked tile tells you how many.

I marked the wrong session. Open the correct session and mark it, then use Reset Attendance on the wrong one. Do it the same day, before anybody reads a report off it.

A teacher says they cannot see the batch. Teachers mark attendance from their own portal and only see batches assigned to them. Assign the teacher to the batch — see Courses, batches and schedules.

Absence SMS is not going out. The Absence notice category is off, or the send-on-save automation is off, or you have no credits. All three are on the SMS settings screen.
