How to run your centre on CampusQ

Task-by-task walkthroughs for the person who administers the system. Written for the screens as they ship today.

How to use this manual

Each page is one job — set up your centre, add students, take a payment — with numbered steps that match the labels on screen. Start with Getting started if your centre is new; otherwise jump straight to the page for the task in front of you. Inside CampusQ, the help (?) button in the top bar opens the same guidance for whichever screen you are on. Every example uses made-up demo data, never a real student.

Getting started: set up your centre

Sign up, run the five-step setup wizard, work through the Getting started checklist, and decide whether to explore with demo data first.

Academic setup

Class levels and academic groups

Define the class levels your centre teaches, understand the four fixed academic groups, and see where both get used across batches, students and the import.

Courses, batches and schedules

Create a course, open a batch with a fee and an optional teacher, and turn a weekly schedule into dated class sessions.

Exams, marks and result sheets

Schedule an exam for a batch, enter marks and grades, view and print result sheets, and build a timed auto-graded online exam from a question bank.

Grading scale, GPA and merit lists

Load a grading scale so marks turn into letters and grade points, understand how GPA is calculated, override a grade with a recorded reason, and rank a cohort.

Daily operations

Students, imports and roll numbers

Add students one at a time or import hundreds from a spreadsheet, record guardian details, share a guardian link, and understand how roll numbers are allocated and renumbered.

Taking attendance

Pick a class session, mark every student present, absent, late or excused, handle makeup classes, and print an attendance register.

SMS, announcements and notifications

Choose which SMS your centre sends and who receives them, automate absence notices and nightly due reminders, price a message before sending it, and publish announcements and in-app notifications.

Teacher attendance

Keep a teacher attendance register: mark a day or a whole month, correct any cell, print the register, and read the weekly anomaly digest.

Fees and payments

Enrollments, fees and payments

Enroll a student in a batch, understand the frozen enrollment total, adjust a fee with a recorded reason, take a payment and print a slip.

Monthly fees and invoices

Bill a batch monthly instead of once, generate this month's invoices, take payment against one, and correct a wrong invoice without deleting anything.

Accounts and expenses

Run your centre's cash book: money accounts, income and expense categories, recording an expense, transferring between accounts, and correcting a mistake by reversal.

People and access

Teachers and the teacher portal

Add a teacher, send their login details, assign them to batches, record their salary structure, and know exactly what they see in their own portal.

Roles, staff access and personas

Create a role, grant permissions per resource and action, add staff users and assign their roles, and understand how personas switch what a user can do.

Salary and payroll

Record a teacher's salary structure, preview a month before you pay it, post a payroll run, and correct a mistake by voiding rather than editing.
